Trainers

The Trainers settings page lets you manage your club's coaching staff. Trainers are users with the "trainer" role who can be assigned as the default instructor for classes. Their names appear on the timetable, class details, and the public club website schedule.

Navigate to Settings > Trainers to view and manage your trainers.


Viewing your trainers

The trainers page shows a list of all users with the trainer role. Each entry displays the trainer's full name and profile picture.


Adding a trainer

Click the + button in the top-right corner to add a new trainer. The creation form lets you:

  • Select an existing user -- If the person already has an account in your system (for example, they are also a member), you can assign the trainer role to their existing account.
  • Create a new user -- If the trainer does not have an account yet, fill in their name and email to create one with the trainer role.

Once added, the trainer becomes available for assignment to classes.


Assigning trainers to classes

Trainers are assigned to classes in two ways:

Default class trainer

When you create or edit a class, you can select a default trainer. This trainer appears on every occurrence of the class unless overridden. The trainer's name is shown on:

  • The admin timetable
  • The member portal schedule
  • The public club website
  • Class occurrence detail views

Per-occurrence override

Individual class occurrences can have a different trainer assigned. This is useful for:

  • Substitutions when the regular trainer is unavailable
  • Guest instructors for special sessions
  • Rotating trainers between sessions

The override is set from the occurrence detail view and only affects that single session.


Trainer visibility

Trainers appear in several places across the platform:

  • Timetable -- The trainer name is shown on each class session.
  • Occurrence details -- When viewing a specific session, the assigned trainer is displayed.
  • Public website -- If your club has a public website, trainer names appear on the schedule so prospective members can see who teaches each class.
  • Member portal -- Members see the trainer when viewing class details and when confirming attendance.

Trainer and member accounts

A trainer can also be a member. Since trainers are simply users with the "trainer" role, the same person can have both a trainer role (for teaching) and an active membership (for training). Their profile and attendance are tracked normally.


Removing a trainer

To remove someone as a trainer, you need to remove the "trainer" role from their user account. This can be done from the Users & Roles settings. Removing the trainer role does not delete the user account or any historical data -- past class occurrences will still show they were the assigned trainer.
